Main criteria of review of an application for certified copies by hand/post
Details
The main criteria of review of an application for certified copies submitted by hand/ post are:
- company name and number;
- applicant’s name and correspondence address;
- the method of receipt of certified copies, either by post or by post office of DRCIP must be clarified;
- the language the certified copies to be issued must be clarified;
- In case where in the application a certified memorandum and articles of association is requested along with the relevant fees , the memorandum and the articles of association must be attached along with the application and must be a true copy of those submitted in the company’s file;
- in case where in the application an issue of certified copies with a specific date is requested , the date must be written “from-to” in the form day/month/year;
- In case where in the application an issue of certified company form, it must be clearly stated the form type;
- In case where in the application a copy of registered documents is requested (copy of filed forms), the exact pages to be given as copies must be reffered.
The most common reasons for rejection of an application are:
- failure to complete the requested language of certificate (Greek/English);
- failure to complete the method of receipt of certified copies (post/offices in DRCIP);
- in case where in the application copy of forms is requested, failure to refer to the pages that must be given as copies;
- • in case where the application concerns a registered company form, failure to clarify the type of form for which a copy is requested as well as the filing date (e.g. HE4, HE12);
- in case where the application concerns the issue of certified copies, the exact date from-to is not clarified (e.g. day/month/year);
- failure to submit the memorandum and articles of association, whereas the relevant fees have been paid;
- failure to submit the fees in case of non- submission of the memorandum and articles of association;
- the memorandum and articles of association submitted is not a true copy as in the company’s file;
- submission of memorandum and articles of association in another language than greek without the company to maintaine a translation file;
- submission of esolutions that are not registered in company’s file.
